Baddest bitches ain’t in LA — they’re out here organizing events! Behind every creative idea and the intricate logistics of every successful pop-up or gathering you attend, you will typically find a dedicated crew packing their kits at 3:00 AM just to prepare for an early tech run. It’s Event Organizer’s Day, and this celebration ultimately goes out to all organizers of every kind.

Curators aka. Life Savers

Moving forward, while some professionals might heavily rely on endless planning, the reality on the ground is that to-do lists can often feel completely overrated once you are actually in the thick of things and talking about the event as the headcount rolls in. Managing everything from media guests and catering artists at press conferences to massive music festivals naturally makes you wonder: how is it even possible to get everyone on the same wavelength and keep that vibrant energy alive?

Fortunately, it seems to be entirely innate to us Filipinos to naturally lean into a communal spirit when it comes to any kind of gathering, extending seamlessly even to the most formal settings, whether they happen to be corporate or creative.

Syncing People and Places

Naturally, notable challenges frequently arise along the way, such as dealing with clients who can occasionally be unresponsive. Cristina Celine Aquino of Nyou Consultancy highlights this very common struggle during the pre-production phase and details how they manage to overcome it.

They take time to reply so it holds us back and we’d need to do constant follow-ups and we’re rushed in terms of sched.”

Pre-production can be as stressful as the actual event. For PR Associate Jairah Galinda of NYOU, it’s schedule more than anything.

One of the biggest challenges during pre-production is aligning everyone’s schedules with the production timeline and event requirements. We overcome this through clear communication, flexibility, and everyone’s commitment and teamwork toward a common goal.”

As a direct result, they tackle these hurdles by staying completely on top of everything, making certain that everyone follows the timeline, keeping track of all deadlines, and sharing responsibilities effectively because, as she points out,

it’s also a good thing that our team are trained to work under pressure.”

Communication Is Key!

Building on that momentum, misunderstandings often happen when event briefs and details are not clearly communicated beforehand, which can easily lead to complications during the actual event. To actively prevent this, teams usually overcome such obstacles by maintaining a comprehensive checklist of standard requirements or proactively asking questions early on. By doing this, everyone stays a step ahead and can immediately request whatever is needed from the client or other stakeholders.

The Pain and Beauty of Working in Events

Ultimately, despite all the heavy hurdles and demanding hours, Celine of NYOU reflects on the deep duality of the experience, sharing that:

Organizing events are sometimes tedious but I have learned to love the beauty of going through the process, even when sometimes it’s slow, long, or repetitive. It’s always a good feeling once you see the result of the events you organize.”

Meanwhile, for Jairah, seeing everything come together successfully and knowing that the event made a positive impact on people makes all the hard work worthwhile.

In reflection, the world of event organizing is far more than just glamorous pop-ups and final celebrations; it is a true test of patience, adaptability, and unwavering grit.

From managing unresponsive clients and tight schedules to aligning diverse groups of people under immense pressure, organizers constantly hold the entire operation down behind the scenes. Yet, through a deeply ingrained communal spirit, sharp communication, and a genuine passion for the craft, these unsung life savers continually turn meticulous planning into unforgettable experiences.
